AI for restoration companies. Complete job files, faster claims.
AI can answer the 24/7 loss call and dispatch a crew, keep moisture readings, drying logs and photos complete, draft estimates and job notes for adjusters and track every claim to payment. Modern Thesis helps owners of water, fire and mold restoration companies put that to work with the estimating and job management tools they already use.
At a glance
- Who it's for: owners, general managers and operations leaders of water, fire and mold restoration companies with $10M+ in annual revenue, including companies on carrier and TPA programs.
- What Modern Thesis does: AI strategy, change management, implementation and ongoing stewardship, from one team.
- How it starts: a strategic assessment that measures how the work moves today and ranks where AI pays first. See the assessment.
- Where: based in the Denver area, with an office at 11001 W 120th Ave, Ste 400, Broomfield, CO 80021. On site across the Denver metro and Colorado, and remote anywhere in the US.
- What it doesn't do: replace your field service software, give legal or insurance advice, or publish a rate card. Each engagement is priced to its scope after a first conversation.
What makes AI different for a restoration company?
Restoration is emergency work paid by insurance. The first call can come at any hour, and the company that arrives first usually gets the job. Then payment depends on documentation: photos, moisture readings, daily drying logs, equipment records and an estimate the carrier accepts. Many companies work to the IICRC standards for water damage (S500) and mold remediation (S520), and carriers and program administrators have their own file requirements. An incomplete job file means a delayed or reduced payment. AI is well suited to keeping the file complete.
Where does AI help restoration companies?
These are examples of what can be built, not past results:
- Answer loss calls around the clock, collect the details (source of water, affected rooms, insurance information) and dispatch the on-call crew.
- Check each day's moisture readings, photos and equipment logs for gaps before the crew leaves the site.
- Draft the job notes, scope and estimate narrative an estimator reviews before it goes to the adjuster.
- Track every open claim: what the carrier has, what it is waiting on and what is overdue, with reminders to the right person.
- Assemble the final job packet: certificates of completion, photos, logs and invoices in the format each carrier or program wants.
Why does documentation decide restoration margins?
Because the carrier pays for what the file proves. A missing day of drying readings or an unlabeled photo can lead to a reduction or a long back and forth. AI can watch the file as the job runs and tell the project manager what's missing while it can still be captured, not weeks later during review. The result shows up in days to payment and reductions per job.
Do we have to replace our software?
No. Keep your job management and estimating software. Most restoration companies have years of customer history, pricing and job records in that system, and the software vendors keep adding their own AI features. Modern Thesis builds around what you already run: we connect to it, read from it, and write back to it where the vendor allows. The goal is fewer screens and less retyping for your office, not another login.
How does an engagement start?
Every engagement starts with a strategic assessment. We sit with the people who do the work, map how it moves through the company today, and measure a baseline on the workflows that matter most: response time to loss calls, job file completeness, days from completion to payment, reductions per claim and project manager hours per job. Then we rank the opportunities by return and define the first build. If AI won't pay for itself somewhere in your business, we'll tell you.
When is something else the better choice?
If you mostly do retail work with little insurance paperwork, the assessment may point to sales and scheduling instead. If your job management software already enforces documentation well, use it more before adding anything. If the main need is better writing and email, the ChatGPT or Copilot licenses you already pay for may be enough; our comparison of Copilot or ChatGPT and an AI partner walks through the difference.
How Modern Thesis handles this
We put AI to work inside xFusion, the 70-person company Jim co-founded, and then for several of its clients. For a restoration company, we usually start with job file completeness, because it ties directly to cash flow. Ongoing stewardship has no set end date, and you own your data, accounts, code and documentation throughout.
Questions
Can AI help restoration companies get paid faster?
Yes, mainly by making job files complete. AI can check drying logs, photos and notes daily, flag gaps while the crew is still on site and assemble the file in the carrier's format. Fewer gaps usually means fewer questions from the adjuster and faster payment. The assessment measures your current days to payment so you can see the change.
Does AI replace our estimating software?
No. Keep it. Most restoration estimates are written in the estimating platform carriers use, and that stays. AI reads job data and drafts the narrative, notes and supporting documents your estimator reviews, which shortens the time from site visit to estimate.
Can AI help with mold remediation documentation?
Yes. Mold work needs careful records of containment, removal and clearance. AI can keep those records organized, check them against your procedures and prepare the summary for the customer and the carrier. Clearance decisions stay with qualified people.
